Privacy Policy

Embroid SA (“we”, “us”, “our”) is a division of Viljun Group Pty Ltd, based at 38 Botha Ave, Cinderella, Boksburg, 1459, South Africa. Viljun Group Pty Ltd is the responsible party for your personal information under the Protection of Personal Information Act (POPIA). This policy explains what personal information we collect through embroidsa.com, why, and what rights you have over it.

What we collect and why

We only collect personal information through the forms on this site, for the specific purpose stated on each form:

  • Digitizing Submission — your name, email, phone, and the artwork you upload, so we can convert it into a stitch file and get it back to you.
  • Seller Submission — your name, contact details, and details/photos of your machine, so we can vet it and broker a sale on your behalf. We do not publish your contact details or any price.
  • Buyer Inquiry — your name, contact details, and what you’re looking for, so we can respond to your inquiry about a specific machine. If you opt in, we’ll also add you to our mailing list for pre-owned equipment updates.
  • Service Request and Training Enquiry — your name, contact details, and a description of what you need, so we can arrange the service or training.

We process this information because you’ve asked us to take a specific action (answering an inquiry, performing a service) — this is “processing necessary for a contract or at your request” under POPIA, except for marketing emails, which rely on your separate opt-in consent.

Our services are intended for business and commercial use. We do not knowingly collect personal information from individuals under the age of 18; if you believe a child has provided us with personal information, please contact us and we will delete it.

Who we share it with

We use Brevo (a European email and contact-management service) to send emails and, only if you opt in, to manage our mailing list. We don’t sell, rent, or trade your personal information to anyone else.

How long we keep it

If an inquiry doesn’t lead to a transaction, we keep your details for up to 12 months before deleting them. If you become a customer or seller we work with, we keep records for up to 5 years for service history and recordkeeping purposes, then delete or anonymise them.

Your rights

Under POPIA, you can ask us to tell you what information we hold about you, correct it, or delete it. You can also withdraw consent to marketing emails at any time, using the unsubscribe link in any email or by contacting us directly. To complain about how we’ve handled your information, you can contact South Africa’s Information Regulator (enquiries@inforegulator.org.za).

Security

We take reasonable technical and organisational steps to protect your information, including restricted access to submitted data and secured hosting. In the unlikely event of a breach that compromises your personal information, we will notify the Information Regulator and affected individuals as required by law.

Cookies

This site uses only the cookies necessary for it to function (e.g. WordPress’s own session handling) and the WhatsApp click-to-chat widget, which may set a cookie if you use it. We don’t use third-party advertising or tracking cookies.

We may update this policy from time to time; the date at the top shows when it was last revised.
